Who we are

This privacy policy applies to Olive Fencing, a fencing contractor based at The Old Cow Shed, Aylesbury, HP22 4NB. We install and repair garden fencing across Milton Keynes, Aylesbury, Leighton Buzzard and the surrounding area.

When this policy refers to “we”, “us” or “our”, it means Olive Fencing. When it refers to “you” or “your”, it means anyone who uses our website or contacts us to enquire about our services.

What information we collect

We only collect information you give us directly. This includes:

  • Contact details — your name, phone number, email address and postcode, when you fill in our quote request form or contact us directly.
  • Job details — information about the fencing work you need, such as the type of fence, your garden dimensions, or photos you send us.
  • Communications — messages you send us by email, WhatsApp or phone, and any follow-up correspondence.

We do not run any accounts system on this website. We do not collect payment card details through this site.

Why we collect it and what we use it for

We use the information you give us solely to respond to your enquiry, prepare and send you a quote, and carry out the work if you go ahead with us. We do not use your details for marketing without your permission, and we do not sell your information to anyone.

The lawful basis for processing your information is:

  • Legitimate interests — to respond to your enquiry and provide you with a quote.
  • Contract — to carry out the fencing work you have asked us to do.
  • Legal obligation — to keep financial and business records as required by HMRC and Companies House rules.

How long we keep your information

If your enquiry does not lead to work being carried out, we will retain your contact details for up to 12 months in case you get back in touch, and then delete them.

If we carry out work for you, we will keep records of the job and your contact details for 6 years in line with HMRC requirements, after which they are securely deleted.

Who we share your information with

We do not share your personal information with third parties for marketing purposes. We may share limited information with the following in order to carry out work for you or run our business:

  • Our email provider (used to send and receive your messages).
  • Our accountant or bookkeeper, where your details appear in invoices or job records.

Any third parties we work with are required to keep your information secure and only use it for the purpose it was shared.

Meta (Facebook and Instagram) advertising

We run advertisements on Facebook and Instagram, which are operated by Meta Platforms Ireland Ltd. To help us show our adverts to people who are likely to be interested in our services, we use the Meta Pixel on our website. This is a small piece of code that collects information about actions taken on our site (such as visiting a page or submitting an enquiry form) and shares it with Meta.

The information shared with Meta may include your IP address, browser type, pages visited, and actions taken on our site. Meta uses this data to match site visitors to its users and to improve the targeting and measurement of our adverts. This processing is carried out under the lawful basis of legitimate interests.

You can opt out of Meta using your data for advertising purposes by visiting your Facebook ad preferences or using the Digital Advertising Alliance's opt-out tool at youradchoices.com.

Cookies and analytics

Our website uses Vercel Analytics to understand how visitors use the site. This is a privacy-focused analytics tool that does not use cookies and does not collect personally identifiable information. It records aggregate data such as which pages are visited and where traffic comes from.

The Meta Pixel described above does set cookies on your device. You can manage or delete cookies through your browser settings at any time.

Your rights

Under UK data protection law (UK GDPR), you have the right to:

  • Access — ask us for a copy of the personal information we hold about you.
  • Correction — ask us to correct any information that is inaccurate or incomplete.
  • Erasure — ask us to delete your information, where we are not legally required to keep it.
  • Objection — object to us processing your information on the grounds of legitimate interests.
  • Restriction — ask us to restrict how we use your information while a complaint or query is resolved.

If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.

Changes to this policy

We may update this privacy policy from time to time. The date at the top of this page will always show when it was last updated. We recommend checking back occasionally if you have any ongoing concerns.
